Field Trip Information

 

Location:

*  The Arts Center of Cannon County is located in Woodbury, TN.

 

Show Times:

*  There are three showtimes available for each school show -  9:00am, 11:00am and    

    12:30pm.  Each show is approximately one hour in length.

 

Tickets:

*  $3 for students and chaperones, teachers are free

*  All chaperones must book through the school

Ticket Subsidies:

*  If you have children who cannot afford the $3 ticket price, you can apply for ticket    

subsidies through Community Foundation of Middle Tennessee.  These funds are paid for by the Tennessee Arts Commission.  We do ask that if you receive these funds to please send a thank you note from your classroom to your legislators.  Their advocacy for the arts assists all arts organizations in Tennessee, and we want them to know that we appreciate their work.

 

Payment:

*  No payment is required at the time of the reservation.  Make your check payable to The Arts Center of Cannon County and bring it on the day of your performance and you will be given a receipt.  Any major adjustments in number should be made at least one month prior to attending the show.

 

Billing:

*  ONLY applies for those counties that are required to be billed for field trips.  You will be given a bill for your field trip on the day of your performance.  The bill must be paid in full within 10 days or the school will be charged a 15% late fee.  All checks should be made out to The Arts Center of Cannon County and mailed to P.O. Box 111, Woodbury, TN 37190

 

Confirmation:

*  Once your reservation has been made your contact teacher will immediately receive an email confirmation.  Please check the reservations and contact us with any changes.  An invoice will be mailed approximately four weeks prior to your performance date and any adjustments in number should be made at that time.

 

Stage Page:

                  

* The Arts Center's curriculum guide that will be mailed with your invoice approximately four weeks prior to the performance date.  Stage Page includes class activities and discussion topics to be used in the classroom before and after the performance.

 

Cancellations:

                  

*  All cancellations must be made at least four weeks prior to the performance.  Failure to adhere could result in a mandatory deposit of 20% for your school.

 

Inclement Weather:

                  

*  If inclement weather occurs The Arts Center of Cannon County will notify your contact teacher about the performance status.  If you miss a scheduled performance because of a school closing, we will do our best to reschedule for another date.

 

Special Seating Needs:

                 

*  The Arts Center of Cannon County welcomes persons with disabilities. Please indicate on the reservation form if special arrangements need to be provided for students with special needs.  We are happy to do whatever we can to make your visit a pleasant one for teachers and their students.

 

Parking:   

       

*  Buses should enter the parking lot and circle so that the door of the bus is facing the building.  This is a shorter and safer route for your students to walk from the bus to the building.

*  Once buses are unloaded they can park at the bottom of the parking lot. 

*  Bus drivers are always welcome to watch the show free of charge if we have seating available.

*  If bus drivers leave the facility, they need to return 15 minutes prior to the end of the performance.

 

Arrival:

                

*  We ask that you arrive 20-25 minutes before your performance is scheduled to start.  This allows us plenty of time to seat groups.

*  When you arrive at The Arts Center of Cannon County, please ask your bus driver to circle the parking lot and pull up to the sidewalk with the bus door facing the front of the building.

*  We ask that you send in the contact teacher with your check as soon as you arrive.  You will then receive your receipt.

*  Please keep all students on the bus until a staff member has asked you to unload.

 

Late Arrival:

                 

*  If you know that you are going to be arriving late, we ask that you please call and let us know.

*  We will try our best to wait on you to arrive before beginning the performance.                   *  Keep in mind that other schools are on a time schedule, and delaying the performance could put everyone in a jam.

*  With this in mind, please plan to be ahead of schedule.

                 

 

Seating:

                 

*  We seat students on a first come, first served basis but we do make allowances for very young students.

*  According to your group size, your group may not be able to all sit in the same section

*  All schools will be seated by an Arts Center staff member and will remain as a group while entering, seating, and leaving the auditorium. 

*  Please wait at the door with your students until a staff member has directed you where to go.

*  Please tell your students that they will be seated according to how they are lined up. 

*  We ask that you allow us to seat your entire group before taking a bathroom break and that you send students to the restroom row by row.

*  We ask that if you have parents that need to sit with a specific child that they line up with their child when entering the facility. 

*  If you ask a chaperone to be in charge of four students, please know that we seat row by row and the numbers may not work out perfectly every time.  We have a small facility and chaperones will be able to see the students they are responsible for even if they do not sit in the same row.

 

Departure:

                

*  We ask that when the performance is over that all students remain in their seats until a staff member has dismissed you.

*  If your students need to take a bathroom break before loading the bus, we ask that you let us know and we will load the other groups first.

*  Buses will be pulled up to the front door and loaded from there.

*  We ask that if you are working with a tight schedule that you let us know and we will try to load your group first.

*  Once your buses are loaded, please pull away from the building to count your students.  This is a great way to keep things running quickly and smoothly.
